At Empowered Synergy, AI may support the work — but it does not replace human presence, professional judgement, confidentiality, or the coaching relationship.
Artificial intelligence can be useful for organising ideas, improving clarity, supporting learning design, and increasing business efficiency. It can also create risk when used without discernment. This AI Code of Conduct explains how Empowered Synergy approaches AI-assisted content, client confidentiality, data handling, and retention.

Our approach to AI is guided by a simple principle: technology should support human development, not reduce people to inputs, outputs, summaries, or automated conclusions.
Human Judgement Comes First
AI may help draft, organise, summarise, or generate ideas. Final judgement remains human.
Coaching Remains Relational
AI does not replace presence, listening, intuition, ethical awareness, or the relationship between coach and client.
Confidentiality Is Protected
Client information, coaching conversations, assessment results, and sensitive organisational details are treated with care.
Consent Matters
Sensitive client information is not intentionally entered into AI tools without a clear purpose, appropriate safeguards, and, where required, client consent.
Data Minimisation Matters
We aim to use the least amount of identifiable information necessary for the task.
Transparency Builds Trust
Where AI meaningfully supports content creation or business processes, we aim to be open about its role.

How AI May Support Our Work
Empowered Synergy may use AI-enabled tools selectively to support business operations, learning design, communication, and public-facing content. AI may be used as a thinking partner, editing assistant, drafting tool, or organisational aid.

AI-assisted work is reviewed, edited, and contextualised before being shared. AI output is not treated as final professional judgement.
Every piece of AI-supported content passes through human review — assessed through the lens of coaching ethics, professional experience, and relevance to the people Empowered Synergy serves.
Clear Limits
What AI Will Not Replace
AI is not a coach. It is not a therapist. It is not a substitute for professional judgement. It does not understand the lived reality, organisational context, emotional nuance, or developmental complexity of a client's experience.
Coaching Presence
Ethical decision-making, client-specific judgement, and confidential reflection cannot be automated.
Professional Evaluation
Mentor coaching evaluation, 360 feedback interpretation, and human sense-making remain entirely human.
Client Agency
The client's voice, lived experience, and meaning-making are never replaced or summarised by an algorithm.
We do not use AI to make automated decisions about a client's potential, leadership capacity, performance, character, readiness, or worth.
Privacy First
Confidentiality and AI Boundaries
Coaching often involves personal, relational, organisational, and developmental information. Because of this, Empowered Synergy takes a cautious approach to using AI with any information connected to clients or client organisations.
We do not intentionally enter the following into public or general-purpose AI tools: 
Full names tied to confidential coaching issues
Client-identifiable coaching notes or raw 360 feedback reports
Confidential organisational strategy or personnel issues
Sensitive personal information shared during coaching
Private session recordings or transcripts without explicit consent
Information that could reasonably identify a client, team, or organisation in a sensitive context
When examples are used for learning, writing, or reflection, they are anonymised, generalised, or converted into composite scenarios wherever appropriate.
Content Integrity
AI-Assisted Content and Intellectual Integrity
Empowered Synergy may use AI to support content development — brainstorming ideas, organising thoughts, editing drafts, or adapting material for different audiences. However, AI-assisted content is not published blindly.

Data Retention and Third-Party Platforms
Empowered Synergy aims to retain information only for as long as it is reasonably needed to provide services, meet professional obligations, resolve disputes, or comply with applicable legal, accounting, or tax requirements.

Active Client Information
Retained for the duration of an active coaching, mentoring, facilitation, team, or assessment engagement.

Coaching Notes and Development Records
May be retained for a reasonable period after engagement to support continuity, professional accountability, and possible future re-engagement, unless otherwise agreed.

Administrative and Financial Records
Billing, invoice, payment, and tax-related records may be retained as required by applicable business, accounting, and legal obligations.

Marketing and Communication Records
Retained until no longer needed, or until the individual unsubscribes or requests removal, where applicable.
Third-Party Platforms: Empowered Synergy may use third-party platforms for scheduling, video conferencing, assessments, payment processing, and document storage. Information may be processed according to those providers' own practices. Before sharing sensitive information through any digital channel, clients are encouraged to ask whether that channel is appropriate.
Clients may contact Empowered Synergy with questions about access, correction, or deletion of their information, subject to professional, business, and legal obligations.

Coaching may involve ambition, uncertainty, feedback, identity, leadership pressure, family systems, workplace conflict, career decisions, and personal growth. These topics deserve care. At Empowered Synergy, AI may support the business — but it does not replace confidentiality, consent, discernment, professional ethics, or the human relationship at the heart of coaching.
